Refund Policy
1. Policy Overview
At Aitson Systems Pvt. Ltd. (“Aitson”, “we”, “our”, or “us”), most of our services involve custom engineering, consulting, and system development. Because these services require dedicated planning, technical effort, and resource allocation, refund eligibility depends on the stage of engagement and the nature of the work performed.
This Refund Policy explains the circumstances under which refunds may be considered.
2. Refunds for Engineering and Development Services
2.1 Before Work Begins
If a client cancels a project before any engineering work has started, a refund may be issued after deducting any administrative or planning costs incurred during project preparation. These deductions may be up to 10% of the agreed project value.
2.2 After Project Work Has Started
Once project execution has begun, work completed up to the cancellation date will be billed accordingly.
In such cases:
- Refunds may be issued only for the portion of work that has not yet been performed
- Charges will apply for completed milestones, planning, architecture design, or development already delivered
All refund calculations will be determined based on the actual progress of the project.
2.3 After Project Delivery
After a project or system has been completed and delivered to the client, refunds will generally not be issued.
Exceptions may be considered only if there is a significant failure to meet the obligations explicitly defined in the service agreement.
3. Consulting and Advisory Services
Consulting sessions, architecture reviews, and advisory services require preparation and dedicated time from our engineering team.
- Once a consultation session has been conducted, the service is non-refundable.
- If a scheduled consultation is cancelled at least 48 hours in advance, clients may choose to either reschedule the session or request a refund.
- Cancellations made with less than 48 hours’ notice may incur a cancellation fee of up to 50% of the consultation fee.
4. Ongoing or Subscription-Based Services
Some services may be offered on a recurring or subscription basis, such as infrastructure management, system maintenance, or technical support.
For such services:
- Clients may cancel the subscription at any time.
- Service will continue until the end of the current billing cycle.
- Payments already made for the current billing period are non-refundable.
- Future billing will stop after cancellation confirmation.
5. How to Request a Refund
If you believe you are eligible for a refund, you may submit a request by contacting us with the following details:
- Your name or company name
- Project or service reference number
- Description of the issue or reason for the refund request
- Any relevant documentation supporting your request

6. Non-Refundable Situations
Refunds are generally not available in the following cases:
- Completed and delivered development work
- Consultation or advisory services already conducted
- Third-party software licenses or services purchased on behalf of the client
- Expenses incurred for integrations, infrastructure setup, or external APIs
- Services that have already been accessed, used, or approved by the client
7. Refund Processing
If a refund request is approved:
- Refunds will normally be processed within 10–15 business days
- Refunds will be issued through the original payment method used for the transaction
- Bank processing times may vary depending on the financial institution
A confirmation will be sent once the refund has been processed.
8. Disputes and Resolution
If there is any concern regarding a project or service, we strongly encourage clients to contact our team first to resolve the issue directly.
Initiating payment disputes or chargebacks without prior communication may lead to additional administrative procedures and could affect future engagements with Aitson.
9. Uncontrollable Circumstances
Aitson is not responsible for delays or disruptions caused by events beyond our reasonable control, including but not limited to:
- Natural disasters
- Government restrictions
- Internet or infrastructure outages
- Global disruptions or emergencies
Such circumstances may impact project timelines but do not automatically qualify for refunds.

We may revise this Refund Policy periodically to reflect operational changes or legal requirements.
Updated versions will be published on this page along with a revised “Last Updated” date.
